Invite teammates, understand workspace roles, and handle expired or mismatched invites.

Team invites and roles

This guide explains how to invite teammates, what each workspace role can do, and how to recover when an invite no longer works.

Workspace roles

Nimriz supports four workspace roles:

  • owner: full control, including owner-only safeguards
  • admin: can manage most workspace settings, teammates, and domains
  • member: can work with links but does not manage workspace administration
  • viewer: read-only access

If your workspace belongs to an organization, you may also see separate org roles such as org_member, org_admin, org_owner, or org_billing_admin. Those org roles do not replace the workspace role shown inside the workspace itself.

Invite a teammate

  1. Open your workspace team settings.
  2. Enter the teammate's email address.
  3. Choose the correct role.
  4. Send the invite.

For org-level roles such as org_admin or org_billing_admin, use the organization members page instead of the workspace team page.

The invited email matters. The acceptance flow is tied to that exact email address.

If the invited workspace belongs to an organization, accepting the workspace invite can also create or reuse the matching org membership automatically.

Invite expiry and recovery

  • invites are time-limited
  • expired invites should be resent rather than reused
  • revoked invites stop working immediately

If someone says the invite page is invalid, ask the workspace admin to resend the invite instead of forwarding an older email chain.

Resend or revoke

Admins and owners can typically:

  • resend a pending invite
  • revoke a pending invite

Resending is the right choice when the teammate never received the email or the link expired. Revoking is the right choice when the wrong email was invited or the invite should no longer be used.

Common invite problems

Signed in with the wrong email

If the person is already signed in, they may need to switch accounts before accepting the invite. The invite is for the exact email that was invited.

Invite already accepted

If they already joined the workspace, they should switch to the correct active workspace instead of trying to re-accept the invite.

If the workspace belongs to an organization, they may also need to confirm that the organization layer exists and then switch into the correct workspace.

Wrong role assigned

An admin or owner can update a non-owner role after the teammate joins. Owner role changes have stricter safeguards.

Owner safeguards

For safety:

  • every workspace must keep at least one owner
  • admins cannot remove or demote the last owner
  • only owners can assign another owner

When to contact support

Contact support if:

  • the invited email is correct but acceptance still fails
  • an invite appears pending even after the user joined
  • a role or membership change is blocked and you do not understand why
